This Policy applies to personal information you submit through our English-language inquiry form, or provide in an email inquiry in English, and to related correspondence about either type of inquiry. It does not replace any written agreement provided if we accept an engagement.

  • Your required acknowledgment that you should not send sensitive information through the form and that submitting it does not create a client relationship

Depending on the Type of inquiry you select, the form may also collect optional information, including:

  • Nationality and preferred language
  • Property location in Japan, number of properties, ownership type, property use, and rental status
  • Purchase year and sale plan
  • Prior Japanese tax filing history and whether you already have a tax representative in Japan
  • Current tax notice and notice deadline
  • Tax audit, inquiry, dunning, delinquency, or seizure status
  • Expected refund
  • Payer, including whether the taxpayer or client will personally pay the fees
  • Departure date or overseas start date

Optional fields may be left blank when they are not relevant to your situation.

Please do not submit My Number information, passport details, tax returns, tax notices, contracts, bank details, passwords, or other confidential documents through the initial inquiry form. If documents are required after an engagement begins, we will provide secure document-sharing instructions.

How We Use Information

We use personal information to:

  • Review your inquiry and respond to you
  • Assess whether your matter may fit our services
  • Send an automatic confirmation email after form submission
  • Prepare a written case review, fee estimate, or engagement proposal where appropriate
  • Perform accepted services after a written engagement begins
  • Comply with applicable legal, tax, professional, and recordkeeping obligations

If an Inquiry Proceeds to an Engagement

If an inquiry proceeds to an engagement, we may use relevant information for identity verification, confirmation of the name of the person making payment, and client-acceptance checks required by applicable law and professional obligations.

No Client Relationship by Inquiry

Submitting an inquiry does not create a client relationship. A professional engagement begins only after Kudan Partners confirms the scope of work and both parties agree to the engagement terms in writing.

Sharing of Information and Third-Party Services

We do not sell personal information. We may share information with service providers, professional advisers, or public authorities where necessary for inquiry handling, service delivery, legal compliance, or professional obligations.

We may use service providers for website hosting, email delivery, secure document sharing or cloud storage, and system support.

This website also uses the following third-party services:

  • Google Analytics 4, implemented through ExUnit, to understand website usage.
  • Google Tag Manager to manage website tags used to measure selected click events.
  • Cloudflare Turnstile to protect the inquiry form against automated submissions. When Turnstile loads, Cloudflare may process your IP address and browser or device-related technical information.
  • Google Fonts to provide website fonts. When fonts load, Google may receive your IP address and browser or device-related technical information.

Information is handled in Japan. Depending on the location of our service providers and third-party services, information may also be processed outside Japan.

Automatic Confirmation Email
